On September 25 and 26, 2024, the Municipality of Dalaguete held a comprehensive 2-day training on the Document Tracking Application (DoTA) for its municipal Liaison Officers. This initiative, facilitated by the Information Technology and Systems Management (ITSM) team, focused on equipping participants with the knowledge and skills needed to efficiently track and manage critical documents, ensuring smoother workflows and enhanced public service delivery.

Proper documentation is essential in ensuring transparency and accountability, especially when handling high-priority documents such as Program of Works (POW) and Purchase Requests (PR). These documents contain crucial information regarding public infrastructure projects and procurement, directly impacting the municipality’s operations. Effective tracking of such documents ensures compliance with legal standards and prevents delays or miscommunication.

The DoTA training emphasized the importance of familiarizing Liaison Officers and other key personnel with the application’s processes. The system provides real-time monitoring of document statuses, ensuring that no important documents fall through the cracks. Understanding the proper procedures and functionalities of this application is vital for offices to not only save time but also maintain the integrity and security of municipal records.

Each participant in the training was given the opportunity for hands-on experience with the system, supported by personalized, one-on-one coaching from the ITSM staff. This step-by-step guidance ensured that every participant could proficiently navigate the system, from logging documents to tracking their progress across various departments.

Beyond the technical skills, the training also underscored the significance of proper documentation management as part of a broader governance framework. With these enhanced capabilities, offices can now process documents more efficiently, reducing errors and ensuring faster responses to requests.

The implementation of DoTA within the municipality reflects the local government’s commitment to modernizing its systems and improving overall service delivery. This training not only boosts productivity but also reinforces the municipality’s dedication to transparency, accountability, and responsiveness to its constituents.

The 2-day training concluded with the distribution of certificates and positive feedback from the participants, who expressed confidence in applying the DoTA system in their daily tasks. Their newly acquired knowledge will contribute significantly to the success of the municipality’s initiatives.

Through this collaborative effort, the Municipality of Dalaguete headed by Mayor Ronnie G. Cesante, continues to set a high standard for efficient governance, demonstrating that the right tools, combined with proper training, can elevate the quality of public service delivery.
